Introduction: Exams Change Everything
For most of the academic year, online classes are one tool among many. They’re important, but they’re not critical. Classes can be rescheduled. If a session fails, it can be recorded and replayed. Students have some flexibility.
During exams, everything changes.
Exams are high-stakes. They’re high-pressure. They’re high-visibility. If an exam session fails, there’s no simple recovery. Students can’t be asked to retake an exam on a different day. Faculty and students can’t be flexible about what time it runs. An institution’s entire reputation can rest on whether the exam infrastructure holds.
This article is for institutional leadership, academic registrars, and examination committees. It explains why exam-time infrastructure is fundamentally different from regular class infrastructure—and what institutions must consider before running live components during exams.
Why Exam-Time Infrastructure Is Different
Concurrency concentrates. During a regular term, classes are distributed across the day. Some run at 10 AM, some at 2 PM, some at 6 PM. Load is spread. During exams, hundreds of students might need to be online simultaneously. A system that handles distributed load might fail under concentrated load.
Accountability intensifies. A failed regular class might result in a recording posted later. A failed exam has no recovery. The institution is accountable for every student’s ability to participate. Legal obligations are heightened. Appeals and grievances are likely if anything goes wrong.
Validation becomes critical. An online lecture doesn’t require authentication verification. An online exam requires proof that the student taking the exam is actually the student enrolled. An online lab doesn’t need proctoring. An online exam might need live proctoring or technical monitoring. The infrastructure becomes more complex.
Exam integrity demands documentation. A regular class session needs to record what happened. An exam session needs an audit trail: Who logged in? When? From where? Did they leave the session? If there’s a question about integrity, the institution must be able to explain exactly what happened.
Why Exam-Time Infrastructure Is Unique
Regular live classes rely on: accessibility, flexibility, approximate documentation.
Exams require: reliability, control, perfect documentation.
These aren’t the same thing. A system that works great for classes might not be trustworthy for exams.
Failure Scenarios Institutions Underestimate
Access denial. An exam is scheduled. Students arrive online. The system won’t authenticate them. “Your credentials aren’t recognized.” Students can’t join. Panic ensues. The institution has to make emergency decisions: Do we postpone the exam? Do we run it on a different platform? Can we verify that this student is actually registered?
Recording gaps. An exam is being proctored. The system is supposed to record video of the student for review. The recording fails silently. The proctor doesn’t notice. The exam is administered, but there’s no video record. Later, if there’s a question about whether the student used unauthorized materials, the institution can’t prove what happened.
Session drops. An exam is running. The platform crashes. Students are kicked out. Some reconnect. Others can’t. The institution has to decide: Is the exam voided? Do students who couldn’t reconnect get to retake it? What about students who did reconnect—do they complete the same exam or a different one? The fairness questions are immediate and complex.
Exam environment integrity. An exam is supposed to be proctored. The student’s connection is poor, so they’re asked to step away from the camera to reduce bandwidth. Now, it’s unclear whether they’re in a controlled exam environment. Has integrity been compromised? Is the exam valid?
Timer discrepancies. The exam platform has a countdown timer. The student’s local clock is five minutes ahead. The student submits answers with 30 seconds remaining (in their view), but the platform records the submission as late. The student claims fairness violation. The institution has to explain why the platform’s time is authoritative.
Why Emergency Fixes Are Not Acceptable During Exams
If a regular class platform has a bug, IT can usually deploy a fix within hours.
Exams don’t allow that luxury.
Trust erosion. If students know the infrastructure has been patched, updated, or jury-rigged during an exam, they lose confidence. They question whether the integrity of the exam is intact. Appeals follow.
Legal exposure. If an institution deploys a fix during an exam to handle a failure, and that fix somehow affects the results, the institution is legally vulnerable. It looks like the institution “modified” the exam environment after the fact.
Audit trail complexity. Emergency changes make the audit trail messy. An auditor later trying to understand what happened sees: platform deployed, student complained, platform was patched, exam completed. The chain of custody is unclear.
Unfairness. If one cohort of students encounters a problem that gets fixed, and a later cohort doesn’t encounter it because the fix was deployed, equity is compromised. One group got a different exam experience than another.
Institution-Safe Principles for Exam-Time Systems
Predictability. The system is identical from pre-exam through post-exam. No updates. No patches. No configuration changes. What works in the pre-exam test run is what will be there during the exam.
Auditability. Every action during the exam is logged with a timestamp: Who joined. When. From where. Session ID. IP address. Browser. Any suspicious activity. The log can be audited later to verify that the exam was conducted fairly.
Controlled access. Only exam-eligible students can access the exam. The system authenticates each student. Students can only access the exam they’re enrolled in. Time-out rules are enforced. Session recordings are stored securely with restricted access.
Fallback clarity. Before the exam runs, the institution has decided: If the system fails, what’s the backup? Do we move to phone-in proctoring? Do we reschedule? Do we move to paper? The decision is made before the exam, not during it.
No novel technologies. Institutions should not debut a new platform, a new proctoring system, or a new authentication mechanism for the first time during a live exam. If it’s being used for exams, it must have been thoroughly tested in the exam context already.
How Institutions Can Test Readiness Before Exams
Dry runs. Months before the exam, run a full-scale test. Recruit students to participate. Have them attempt an exam in the actual platform, under the actual proctoring model, with the actual authentication system. Learn what breaks before it matters.
Limited-scope simulations. Run a smaller exam on the platform with the same configuration that the real exam will use. 50 students in a test exam. Observe: Did all 50 join? Did they all authenticate? Did recording work? Did they all submit on time? Fix problems before high-stakes use.
Rollback plan. Define exactly how to revert to the previous working state if something fails. Can you restore the system from backup? Can you move students to a phone-based exam? Can you reschedule? Have the rollback documented and practiced.
Proctor training. If exams are proctored, proctors need to understand the technology thoroughly. Not just “how to start a session,” but “what to do if the student’s video feed fails,” “how to know if the recording is working,” “what to escalate to IT.” Training prevents panicked decision-making.
Vendor accountability. If using a third-party platform for exams, have explicit service-level agreements (SLAs) in place. The vendor must guarantee uptime, authentication success, and audit logging. If an exam fails due to vendor infrastructure, the vendor is liable.

Exam stability is an institutional responsibility, not an IT issue.
Institutions that run exams successfully through live systems don’t just choose good platforms. They test extensively. They plan fallbacks. They train staff. They lock down configuration. They audit thoroughly. They treat exam infrastructure as mission-critical.
For many institutions, the safer choice is still to keep exams in-person or on paper. Online exams add risk that some institutions choose not to take.
If an institution does choose to run exams online, do it conservatively. Test early. Test repeatedly. Test under stress. Have a fallback. Document everything. Assume something will break, and have a plan for that.
The exam that appears to work perfectly might still have had hidden integrity issues. The exam that runs flawlessly in a full dress rehearsal might still encounter surprises on the day. Conservative planning, extensive testing, and clear fallbacks are what turn “appear to work” into “can be trusted.”
